Terms and conditions for bookings for short term holiday rental
Bookings are made and accepted only on the following conditions
1. Contract
The contract for a short term holiday rental is between the owner of the property(the owner) and the person making the booking (the guest) and all members of the holiday party. UK law will govern the contract. The contract is not effective until we have received and processed the deposit. The party leader must be at least 18 years of age at the time of booking.
2. Payment
Bookings are confirmed on receipt of the booking form and receiving the deposit of 20% of the holiday cost. The balance of the rental and a further returnable deposit to cover damages and breakages, is due for payment 8 weeks before the start of your holiday. We reserve the right to cancel a holiday where payment has not been received before this time.
Payments are accepted via cheque payable to T Clappison and sent to Manor Farm, Harswell, York YO42 4LE. Bank transfers are also welcome.
3.Cancellation or change to booking
Please notify us immediately by telephone of a cancellation and confirm this in writing. We charge an administration fee of £50 for any cancellations. Guests are responsible for their own cancellation insurance. We strongly advise that guests take out a travel insurance policy which covers booking cancellations. Any alteration to an existing booking will incur a £20 administration fee. Cancellations made within 8 weeks of the start of your holiday will not be refunded unless we are able to re-let the property immediately.
For extenuating circumstances ( such as the COVID-19 pandemic) we will consider each booking on an individual basis and try to change or refund our guests as appropriate.
4. Terms of use
You may arrive at the property from 14.00 on the first day of your holiday and are asked to vacate by 10.00am on your final day. You must not use the property except for the purpose of a holiday and not for any longer period.
If you decide to leave the property before the end of your stay or are intending to leave the property empty for one or more nights during your holiday, please notify the owner.
5. Circumstances beyond the control of the owner
In the event that the property is unavailable, the owner will refund all monies paid. We cannot however, pay any compensation or expenses.
6. Number of persons using the property
No more than the number of persons booked into the property should occupy the property unless by prior arrangement with the owner. We reserve the right to refuse admittance if this condition is not observed.
7. Liability
We accept no responsibility for personal injury to the guest or any member of the holiday party, or loss of or consequential loss or damage to their property, or for other matters over which we have no control. We strongly advise that guests take all necessary steps to safeguard themselves and their property including vehicles and contents, during their stay.
8. Care, damages and breakages
Guests shall keep the Property and all furniture, fixtures, fittings and effects in or on the Property in the same state of repair as at the commencement of the holiday, and shall leave the Property in the same state of cleanliness and general order in which it was found. Guests must report and cover the cost of any damage or breakages made during their holiday occupancy. The Owner reserves the right to make a charge where guests have not kept the property smoke free.
9. Right of entry
The owner is allowed reasonable right of entry to the property at all times for purposes of inspection or to carry out any necessary repairs or maintenance.
10. Smoking
This is a no-smoking property.
11. Pets
Responsible pet owners are welcome by arrangement and are subject to an extra charge. Please contact us direct for further information.
12. Complaints
In the event of there being cause for complaint concerning your holiday, you should discuss this with the Owner as soon as possible whilst you are on your holiday so that we can help resolve it. We hope that you will not have any concerns, but we welcome any feedback on how we can improve, so please complete one of our feedback forms following your stay.
13. Behaviour
We ask that you and your party should behave appropriately. Guests right to occupy the property may be forfeited without compensation if they behave inappropriately or:
- More people or pets than declared at the time of booking or before the commencement of the holiday to the owner and/or the number the Property holds, attempt to take up occupation.
- Overnight guests are entertained without the Owners express permission.
- Any activity is undertaken which is illegal, or may cause unreasonable damage, noise, behaviour or disturbance.
